Sweetbay Travel Concierge, LLC (“Sweetbay,” “we,” “us,” or “our”) is a travel agency based in South Carolina. We plan and book vacations for families, couples, and groups. This Privacy Policy explains what information we collect when you visit sweetbaytravelconcierge.com, contact us, or work with one of our travel advisors, how we use it, who we share it with, and the choices you have.
Information We Collect
Information you give us
When you fill out a vacation request or contact form, sign up for emails, chat with us, or book a trip, we may collect:
- Contact details such as your name, email address, phone number, and mailing address
- Trip details such as destinations, travel dates, budget, number of travelers, and preferences
- Traveler details needed to book such as legal names, dates of birth, gender as shown on travel documents, passport information, Known Traveler or Redress numbers, and loyalty program numbers
- Special requests such as dietary needs, accessibility or mobility needs, or celebrations you share so we can arrange the right accommodations
- Payment information when you make a payment to Sweetbay (see “Payments” below)
- Communications such as emails, text messages, and notes from our calls or meetings
Please only share sensitive details, such as passport numbers or health-related needs, when we need them to book or support your trip. We will ask for them through secure methods.
Information collected automatically
When you visit our website, we and our service providers automatically collect certain information, such as your IP address, browser and device type, pages viewed, how you arrived at our site, and general location (city or region). We collect this using small data files and similar technologies stored in your browser. See “Analytics and Browser Technologies” below.
How We Use Your Information
- To respond to your questions and vacation requests
- To plan, quote, book, and manage your travel, and to support you before, during, and after your trip
- To process planning fees and travel payments
- To send trip documents, reminders, and important updates about your booking
- To send newsletters, travel offers, and promotions if you have opted in (you can unsubscribe at any time)
- To understand how visitors use our website so we can improve it
- To meet legal, tax, and accounting obligations and to protect against fraud
We do not sell your personal information.
How We Share Your Information
We share information only as needed to serve you or run our business:
- Travel suppliers. To book your trip, we share the required traveler details with resorts, hotels, cruise lines, tour operators, theme parks, airlines, transfer companies, and travel insurance providers. Their use of your information is governed by their own privacy policies.
- Our travel advisors. Sweetbay works with independent travel advisors. Your information is shared with the advisor who is helping you, and with Sweetbay staff who support your booking.
- Service providers. We use trusted companies to run our business, including our travel agency management, booking, client relationship, and email platform (Tern), our website forms and client relationship platform (HighLevel), website form tools, website hosting, Google Analytics, payment processors, and video hosting (Vimeo). They may only use your information to provide services to us.
- Legal reasons. We may disclose information if required by law, to respond to legal requests, or to protect the rights, safety, and property of our clients, our business, or others.
- Business changes. If our business is sold or merged, client information may be transferred as part of that transaction.
If your trip takes you outside the United States, your information will be shared with suppliers in those countries so they can provide your travel services.
Text Messages (SMS)
If you give us your mobile number, your travel advisor may text you directly about your inquiry or your trip. Message and data rates may apply. If you would prefer not to receive texts, reply STOP or let your advisor know, and we will contact you another way. Consent to receive texts is not a condition of purchase.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties.
Email Marketing
If you join our email list, we will send travel tips, offers, and news from Sweetbay. Every marketing email includes an unsubscribe link. Even if you unsubscribe, we may still send you messages about an active trip.
Analytics and Browser Technologies
Our website uses Google Analytics to understand how visitors find and use our site. Google Analytics uses small data files stored in your browser to collect information such as pages visited and time on site. You can learn how Google uses this data at Google’s partner sites page, and you can opt out with the Google Analytics opt-out browser add-on.
Our forms, embedded videos, and linked booking tools may also store data in your browser to work properly. You can block or delete these through your browser settings, though some parts of our website may not work as intended. Our site does not currently respond to “Do Not Track” browser signals.
Payments
Most trip payments are made directly to the travel supplier, such as the resort, cruise line, or tour operator. In some cases, such as planning fees or bookings with smaller local tour operators and destination management companies, you may pay Sweetbay directly. When you pay Sweetbay, your payment is handled by a secure third-party payment processor. We do not store full credit card numbers on our website.
How We Protect Your Information
We use reasonable administrative, technical, and physical safeguards to protect your information, including secure platforms and limited access by our team. No method of sending or storing data online is completely secure, so we cannot guarantee absolute security. Please do not send passport numbers or payment card details by regular email or social media message.
How Long We Keep Information
We keep your information for as long as we need it to provide our services, to keep a history of your travel so we can serve you well on future trips, and to meet legal, tax, and accounting requirements. When we no longer need it, we delete it or make it anonymous.
Your Choices and Rights
You may ask us to:
- Tell you what personal information we have about you
- Correct information that is wrong or out of date
- Delete your information (unless we are required to keep it, such as for an active booking or tax records)
- Stop sending you marketing emails or texts
Depending on where you live, you may have additional rights under your state’s or country’s privacy laws. To make a request, reach us through our contact page. We will respond within a reasonable time and may need to verify your identity first. We will not treat you differently for exercising your privacy rights.
Children’s Privacy
Our website is meant for adults and is not directed to children under 13. We do not knowingly collect information from children online. When a family trip includes children, we collect the details needed to book their travel from a parent or guardian.
Links to Other Websites
Our website links to other sites, such as travel suppliers, booking tools, and social media pages. We are not responsible for the privacy practices of those sites. Please review their privacy policies.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will change the effective date at the top of this page. We encourage you to review it periodically.
